Facility Rental Process

Step 1: Registration Process
Before you can reserve a facility, you must register your organization by creating an account in our online system.
To register:
· In the upper right corner, click on “Log in to Request Facility Use”.
· Click to Create an Account.
· Read and agree to abide by terms and conditions.
· Fill out contact information including name, email address, phone number, address and a password. All passwords must contain at least six characters and can be made up of any combination of letter, numbers and/or symbols. Passwords are not required to include any capital letters and are not case sensitive.
· Click Save & Next.
· Provide organization information.
· Click Save & Next.
· Submit Request.
Registration requests will go to campus administration for approval. You will receive an email confirmation once your request has been approved.

Step 2: Submit a Facilities Rental Request
Once your organization has been approved, you may submit a rental request. These requests must be made at least 15 days prior to the event.
· Go to Facility Use Calendar.
· In the upper right corner, click on “Log in to Request Facility Use”.
· Log in using the email address and password submitted as part of your registration.
· To check availability of the facility, use the filter buttons to choose a location and date(s).
· Click the Request Facility Use tab at the top of the page. You have two choices:
1. The Normal Schedule allows you to request from 1 to 20 events. All events should be in the same room(s), at the same time over different days.
2. The Recurring Schedule allows you to choose up to 100 events in the same room(s), at the same time over different days. These events are scheduled on a recurring basis. (i.e. every Monday and Wednesday for a month or every Sunday for 6 months, etc.)
· Fill out the form which asks for the event title, description, school or room/building, date(s) and start/end times.
· Click Check Availability.
· Request services
· If the room/building is available, agree to the terms and conditions of the Facility Rental Agreement.
· Provide Insurance information.
· Final approval of your registration request will not be approved until you have supplied a current Certificate of Insurance.

The aforementioned rates are based on groups of 100 or less.
Larger group fees:- 101-500: Additional $10/Hour
- 501+: Additional $20/Hour
Additional Notes
- Classrooms, libraries, and instructional spaces are not available for non-school rentals.
- Renting of parking lots for exterior activities (such as community garage sales, race events and concerts) must be coordinated with the BISD Facilities Department. A minimal charge of $25 per hour may be required to rent a parking lot. However, the district may establish stipulations for use of these spaces to protect school district property and ensure public safety. **A custodian will be required unless a district employee is present during the hours of the event.
- There are not allowances for rentals to individuals and or any other category of user not defined on the first page of this document following the preamble/introduction.
- Garage sales and other income-producing events exterior to our school facilities may require City of Boerne oversight and specific permitting - unrelated to BISD policy and procedures.
- All income-producing camps sponsored by BISD employees will pay 10% of gross proceeds. (For example: athletic camps led by district coaches, private vocal and/or instrumental lessons.)
- Non-local organizations pay 20% above rates. Local organizations are those organizations wherein 50% or more participants reside in Boerne ISD. Rosters with addresses may be required.
- Local non-profit youth organizations receive a 20% discount. A letter of determination as provided by the IRS 501(c)3 or other documentation showing non-profit may be required. (Example: Local YMCA, Boys & Girls Club, CYO, Scouting, dovernmental entities)
- There are no rental charges for Boerne ISD support organizations such as PTOs, Booster Clubs, Boerne Education Foundation, and student activities programs. However, the district may not waive and/or discount associated labor costs that may be required.
- The hourly minimum for custodial personnel for after-hour and weekend events is $20/per hour with a $40 minimum. 100+ rentals require two custodians at the discretion of the district.
- NO OVERNIGHT USE OF GYMS. Use of locker rooms and showers are prohibited.

Organizations (Requestors) shall purchase, provide and keep in effect during the use period, pursuant to District Policy, a liability insurance policy, or rider to an existing policy, naming as additional insured “Boerne ISD, its officers, employees, and agents,” which will provide coverage in the amount of $500,000 for property damage and $1,000,000 per occurrence for personal injury (including death). Coverage provided by such policy or rider must apply to the death or injury of any person and the damage to property that result, directly or indirectly, from the intentional or negligent act or omission of Organizations (Requestors) officers, agents, employees, guests, or invitees during the use or occupancy of District facilities. Such insurance shall be with an insurance company or companies authorized to do business in Texas, under policy or policies acceptable to the District and provided prior to facility use. The Organizations (Requestors) must provide the District with a certificate of insurance attesting the existence of a policy or policies providing coverage required. Policy deductibles shall be the responsibility of the Organizations (Requestors) for any claim (s).
This is official and formal notice that the Boerne Independent School District is considered a governmental entity to which the State of Texas immunity laws apply. As a result, the District cannot and will not be responsible for injuries to members or guests associated with the Organizations (Requestor) and the District will not be responsible for the loss, damage, or theft of any property owned by the Organizations (Requestor), its members, or guests. Under no circumstances will the District be responsible for medical expenses associated with any such injuries.

If seeking to rent the facilities at the reduced rate, a copy of the 501(c)3 "Letter of Determination" as provided by the IRS or any other documentation showing non-profit status is required. Please attach when submitting a Facility Request. Not required for Governmental Entities.
